Define the Purpose and Goals

We’ll work with you to understand the reason for the event and what you hope to achieve. This could be anything from raising funds to celebrating a big achievement.

Set a Budget

We’ll need to determine how much you can spend on the event and then we’ll stick to that budget and allocate funds accordingly. We’ll include all expenses from venue rentals to catering to marketing. No surprises here.

Create a Timeline

We’ll develop a timeline outlining all the tasks that need to be completed leading up to the event. Let’s include everything from deadlines for booking vendors to sending invitations and finalizing logistics.

Select a Venue

Choosing a venue is a big part of event management. It can be time consuming but it needs to fit the event's purpose, size, and budget. We’ll work with you to consider factors like location, capacity, amenities, and ambiance.

Book Vendors and Services

Securing vendors such as caterers, audiovisual technicians, decorators, equipment rentals and transportation services. We’ll do all the haggling so you don’t have to and we’ll make sure they understand your requirements.

Manage Registration and RSVPs

Setting up a system for attendees to register or RSVP is critical. It saves time in the long run and ensures that no one is left out.  We’ll track responses and communicate important details such as the event agenda, parking information, and dress code to the guests, but also keep you up-to-speed on who’s coming too.

Coordinate Logistics

We’ll arrange all logistical aspects of the event, such as seating arrangements, signage, equipment setup, and transportation. We’ll ensure everything runs smoothly on the day of the event.

Prepare for Contingencies

We’ll make a plan – let’s call that plan A – but then we’ll have plan B and C – just in case. We’re pros at anticipating problems which is why we have backup plans.  This could include a rainy-day alternative for an outdoor event or extra supplies in case of unexpected guests. These are things that you don’t have to worry about.

Staffing and Volunteers

We may need some extra hands on deck and if that is the case, we’ll explore all avenues to find those extra people and we’ll train them to assist with various tasks, such as registration, guest assistance, and cleanup.

Execute the Event

On the day of the event, we’ll oversee all operations to ensure everything goes according to plan. And, we’ll be prepared to address any issues that arise promptly.
